Petsoft App Privacy Policy

Petsoft LLC ("Petsoft", "we", "us", or "our") is committed to maintaining the privacy of your personal information. This policy describes the information we collect through the Petsoft mobile application and how we use, store, and protect it.

Account & Contact Information

When you register and use the Petsoft app, we collect:

  • Name, email address, phone number, and home address
  • Login credentials (passwords are hashed and never stored in plain text)
  • Emergency and secondary contacts you add to your account, including their names, phone numbers, and email addresses
  • Veterinarian contact information

Pet Information

To provide boarding and daycare services, we collect detailed information about your pets, including:

  • Name, breed, color, weight, gender, and date of birth
  • Medical information, allergies, medications, and dietary requirements
  • Behavioral notes (e.g., aggression, anxiety, known commands)
  • Vaccination records and expiration dates
  • Pet photos and uploaded veterinary documents

This information is shared with the facility staff responsible for caring for your pets. It is not sold or shared with third parties outside of your selected facility.

Device & Usage Information

We automatically collect certain technical information when you use the app:

  • IP address (logged on login attempts and payment transactions)
  • Device model, operating system version, and app version
  • Device locale and timezone
  • Date and time of requests

This information is used for security monitoring, fraud prevention, and diagnosing technical issues. It is not sold or used for advertising.

Device Permissions

The app requests the following device permissions:

  • Photo Library: To allow you to upload pet profile photos.
  • File Access: To allow you to upload vaccination records and veterinary documents.

These permissions are only used for the purposes described above. You may revoke them at any time in your device settings.

How We Use Your Information

  • To manage your account and authenticate your identity
  • To facilitate pet boarding and daycare reservations
  • To process payments and maintain billing records
  • To send reservation confirmations, reminders, and facility notifications
  • To allow facility staff to care safely for your pets
  • To detect and prevent unauthorized access or fraudulent activity
  • To improve the reliability and performance of the app

Third-Party Service Providers

We share data with the following third-party service providers only as necessary to deliver our services:

  • Elavon: Payment processing. Card data is handled directly by Elavon and is never transmitted through or stored by Petsoft in raw form.
  • Twilio: SMS notification delivery. Your phone number is shared with Twilio only when you have opted in to SMS notifications.
  • Zip2Tax: Sales tax calculation by location. No personal identifying information is transmitted.

Data Storage & Security

Your data is stored in secured databases. Authentication tokens are stored in your device's secure keychain (iOS) or keystore (Android) and are never stored in plain text. Passwords are hashed using industry-standard algorithms before storage.

All communication between the app and our servers is encrypted using HTTPS.

Data Retention

At Petsoft, we extend our commitment to privacy and data protection to the documentation related to pets provided by our clients.

In accordance with regulatory requirements and our commitment to maintaining a high standard of data management, Petsoft will retain any documentation related to pets, such as veterinary records in order to provide you services of this site. This retention policy is designed to ensure that we have the necessary information to provide services related to your pets while respecting your privacy.

In cases where documents are permanently deleted by our system, they will be securely disposed of in a manner that protects your privacy and the confidentiality of the information contained within. Notification Preferences

You may opt in or out of email and SMS notifications at any time through the Settings section of the app. Opting out of SMS notifications will stop Petsoft from sharing your phone number with Twilio for that purpose.

Opt-Out & Data Deletion

You can stop all collection of information by the app by uninstalling it using the standard uninstall process on your device. To request deletion of your personal data, contact us at the address below.

Children

The Petsoft app is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can take appropriate action. Users must be at least 16 years of age (or have parental consent) to use the app in jurisdictions where this applies.

Changes to This Policy

We may update this Privacy Policy from time to time. Continued use of the app after changes are posted constitutes acceptance of the updated policy.
